Starting a duka: first 90 days money & stock system

The first three months decide whether you are building a business or an expensive hobby. You do not need perfect accounting—you need a simple system for cash, M-Pesa, stock, and deni that you will actually use.

Days 1–30: Survival habits

  1. List your top sellers only (20–50 items)—expand later
  2. Record every sale the moment money changes hands
  3. Separate cash and M-Pesa in the record—not only in your pocket
  4. Write down stock purchases the same day
  5. Refuse fuzzy deni: name + amount or no credit

Days 31–60: Control the leaks

  • Reconcile cash + M-Pesa vs sales at least weekly (daily is better)
  • Spot-check stock on your fastest movers
  • Kill duplicate product names that confuse the till

  • Double down on lines that actually move (and make margin)
  • Cut or discount dead stock deliberately—not by accident
  • If someone else sells, add a proper staff login
  • If you need capital, start cleaning exportable history now—not the week of the SACCO visit

  • Have you reconciled at least eight times?
